Welcome to Easy Room ("we", "our", or "us"). We are committed to protecting your personal data and your privacy. This Privacy Policy explains how we collect, use, and protect information when you visit our website and purchase our digital interior design capsule products.

Even though our business is registered in Ukraine, this policy is designed to comply with the General Data Protection Regulation (GDPR), which applies to us because we sell to customers in the European Union and European Economic Area.

2. Important Note About Payments

All payments on our website are processed by 3rd party platforms/services like Paddle (Paddle.com Market Limited, registered in the UK, and Paddle.com Inc., registered in the USA). Paddle acts as our Merchant of Record — meaning Paddle is the legal seller of our products to you. When you make a purchase, your payment is processed by Paddle, not directly by us.

This means:

  • Your payment card is charged by Paddle, and 'Paddle.com' or 'Paddle.net' will appear on your bank statement — not Easy Room

  • Paddle collects and remits VAT and other applicable taxes on all purchases on our behalf

  • Paddle's own Privacy Policy (available at paddle.com/legal/privacy) also applies to your transaction data

  • Any payment disputes or chargeback requests are handled by Paddle directly

We do not receive, store, or have access to your full payment card details at any time.

3. What Data We Collect

We collect the following categories of personal data:

3.1 Data You Provide to Us

  • Name and email address (when purchasing or subscribing to our newsletter)

  • Communications you send us via email or contact forms

3.2 Data Collected Through Paddle at Checkout

  • Billing name and address (collected and held by Paddle)

  • Payment method details (collected and held by Paddle — we never see your full card number)

  • VAT/tax identification number, if provided voluntarily for business purchases

3.3 Data Collected Automatically

  • IP address and browser/device type

  • Pages visited, time spent on site, and click behaviour (via Google Analytics 4)

  • Cookie identifiers and session data

  • Referring websites and search terms

 

3.4 Data from Social Media Platforms

  • If you interact with our Instagram, Facebook, or TikTok pages, those platforms may share engagement data with us in accordance with their own privacy policies

4. How We Use Your Data

We use your personal data for the following purposes:

  • To process your purchase and deliver your digital products (via Paddle's automated delivery system)

  • To send order confirmations and product download links

  • To send you marketing emails and newsletters (only with your explicit consent)

  • To respond to your enquiries and provide customer support

  • To improve our website and products through analytics

  • To comply with legal and tax obligations

5. Legal Basis for Processing (GDPR)

We process your data under the following legal grounds:

  • Contract performance: Processing your order and arranging delivery of your purchased digital products (via Paddle or another distribution platform)

  • Legitimate interests: Website analytics, fraud prevention, and improving our services

  • Consent: Sending marketing emails and newsletters — you may withdraw consent at any time by clicking 'unsubscribe' in any email

  • Legal obligation: Maintaining records required by applicable law

6. Taxes, VAT, and Paddle as Merchant of Record

Because most 3rd party platrforms like Paddle acts as Merchant of Record, Paddle is responsible for calculating, collecting, filing, and remitting all applicable taxes — including EU VAT, UK VAT, and other sales taxes worldwide — on every transaction. You do not need to take any action regarding tax on your purchase.

If you are a VAT-registered business and wish to receive a VAT invoice, you can request this directly from Paddle using the email address in your order confirmation. Paddle issues all customer-facing invoices and receipts.

7. Cookies

Our website uses cookies. We use the following types:

  • Essential cookies: Required for the website to function (e.g., session management)

  • Analytics cookies: Google Analytics 4 to understand how visitors use our site

  • Marketing cookies: Facebook Pixel to track conversions from our ads and improve targeting

You can manage or disable non-essential cookies through your browser settings at any time. Disabling essential cookies may affect website functionality.

8. Who We Share Your Data With

We do not sell your personal data. We share it only with the following trusted third parties to operate our business:

  • 3rd party distribution platform (currently) Paddle (paddle.com): Our Merchant of Record — processes payments, issues invoices, handles VAT compliance, and delivers your digital products automatically. Paddle is subject to GDPR and operates under UK and US law.

  • Google Analytics: Website analytics. Data is anonymised and aggregated before we review it.

  • Meta (Facebook/Instagram): Ad performance tracking via Facebook Pixel to measure campaign effectiveness.

  • Email marketing platform (e.g., Mailchimp or similar): Used to send newsletters and updates — only if you have subscribed.

All third-party processors handle your data in accordance with applicable data protection law. We have data processing agreements in place where required by GDPR.

9. International Data Transfers

As a Ukrainian business selling to EU customers, and using services like Paddle (UK/US), Google, and Meta (US), some of your data may be processed outside the EEA. Where this happens, we ensure that appropriate safeguards are in place — such as Standard Contractual Clauses (SCCs) or adequacy decisions — to protect your data to the same standard as within the EU.

10. How Long We Keep Your Data

  • Purchase and transaction records: 7 years (standard accounting retention requirement)

  • Email marketing data: Until you unsubscribe or request deletion

  • Analytics data: 14 months (Google Analytics default)

  • Customer support communications: 2 years after last contact

After these periods, your data is securely deleted or anonymised.

11. Your Rights Under GDPR

As an EU/EEA resident, you have the following rights:

  • Right to access: Request a copy of the personal data we hold about you

  • Right to rectification: Request correction of inaccurate or incomplete data

  • Right to erasure: Request deletion of your data, subject to legal retention obligations

  • Right to restrict processing: Request that we limit how we use your data

  • Right to data portability: Receive your data in a structured, machine-readable format

  • Right to object: Object to processing based on legitimate interests or for direct marketing

  • Right to withdraw consent: Withdraw marketing consent at any time without affecting prior processing

12. Digital Products, Refunds, and the Right of Withdrawal

Easy Room sells digital downloadable products (PDF files). When you purchase a product, Paddle delivers your download link automatically upon payment.

Under EU Consumer Rights Directive Article 16(m), the 14-day right of withdrawal does not apply to digital content that has been made available immediately, provided the consumer has given prior express consent and acknowledged that the right of withdrawal is thereby lost.

By completing your purchase and downloading your product, you explicitly confirm this consent. This notice is also displayed by Paddle at the point of checkout.

This does not affect your rights in relation to products that are faulty, not as described, or not fit for purpose. If you have a problem with your order, please contact us at hello@easyroom.guide, and we will work to resolve it. Refund requests are handled on a case-by-case basis by Paddle.

13. Children's Privacy

Our services are not directed at children under the age of 16. We do not knowingly collect data from children. If you believe a child has provided us with personal information, contact us and we will delete it promptly.

14. Data Security

We take reasonable steps to protect your personal data, including:

  • SSL/TLS encryption on all website pages

  • All payment processing is handled by Paddle using a PCI-DSS compliant infrastructure — we never handle your card data

  • Limited internal access to personal data

Despite these measures, no online transmission is 100% secure. Please use strong passwords and exercise caution when sharing personal information online.

We may update this Privacy Policy from time to time. The updated version will be posted on this page with a revised 'Last Updated' date. We encourage you to review this page periodically. Continued use of our website after changes are posted constitutes acceptance of the updated policy.
